How Manufacturers Can Get RFQs From Their Website (Without Paid Ads)

Most manufacturer websites are digital brochures. Learn how to turn yours into an RFQ machine that works around the clock — no ad spend required.

If you run a manufacturing business, you already know how most of your work arrives: referrals, repeat customers, and the occasional trade show handshake. The website? It sits there. Maybe it gets a contact form submission every few months — usually a salesperson trying to sell you something.

That's not because industrial buyers don't use the internet. They do — more than ever. Gartner research found that B2B buyers complete the majority of their purchasing process before they ever contact a supplier. By the time a procurement manager or design engineer emails you, they've already shortlisted you based on what they found online.

The problem is that most manufacturer websites were built as brochures: a homepage, an "About Us" written in 2016, a grainy photo of the shop floor, and a generic contact form. Brochures don't generate RFQs. Here's what does.

Why buyers leave your website without requesting a quote

Put yourself in the buyer's chair. A sourcing specialist at an OEM needs a supplier for a machined component. They search, land on four or five supplier websites, and give each one about ten seconds. They're asking three questions:

  1. Can this shop actually make my part? (capabilities, materials, tolerances, equipment)
  2. Can I trust them with my production schedule? (certifications, years in business, industries served, real photos)
  3. How do I get a price without wasting a week? (a clear, easy path to request a quote)

If your website can't answer all three in under a minute, the buyer clicks back and requests a quote from the competitor whose site could. You never know you lost the job, because they never contacted you.

Step 1: Build capability pages, not a services paragraph

The single highest-leverage change a manufacturer can make is replacing the one-page "Our Services" summary with dedicated capability pages. One page per process, one page per major product line.

A precision machine shop shouldn't have a single "Machining" page. It should have pages for CNC milling, CNC turning, wire EDM — each listing machine models, work envelope, tolerances held, materials run, and typical industries served. This matters for two reasons:

  • Buyers verify capability before contacting anyone. A page that says "5-axis machining up to 40 inches, ±0.0005 in., titanium and Inconel" answers the question. "We offer quality machining services" does not.
  • Google can only rank pages that exist. Nobody searches "quality machining services." They search for the specific process, material, or part type they need — and often add a location. Every capability page is a chance to be found for one of those searches.

Step 2: Put trust signals where buyers can see them

Industrial buyers are professionally skeptical — a bad supplier can shut down their production line. Reduce the perceived risk on every page:

  • Certifications (ISO 9001, AS9100, IATF 16949) — in the header or footer, not buried on an About page
  • Real photos of your actual facility, equipment, and team — not stock photos of robot arms
  • Years in business and industries served — "family-owned since 1987, serving aerospace and medical OEMs" is a trust signal, not filler
  • Logos or named industries of customers, where NDAs allow

None of this is design decoration. It's the online equivalent of the plant tour a buyer would ask for before placing a large order.

Step 3: Make the RFQ the main event

On most manufacturer websites, the only conversion path is a "Contact Us" link in the navigation. That's asking for general correspondence, not business.

  • Use "Request a Quote" as the primary button — in the navigation, on every capability page, visible without scrolling.
  • Keep the form short: name, company, email, phone, and a description or drawing upload. Every extra required field costs you submissions; qualification can happen on the follow-up call.
  • Accept file uploads. A buyer with a STEP file or PDF drawing in hand is your highest-intent visitor. Make it effortless to send it.
  • State what happens next: "We review every RFQ within one business day." Silence after submission is why buyers submit to three suppliers at once.

Step 4: Respond fast — speed wins jobs

Here's the uncomfortable one. Research published in Harvard Business Review found that companies that contacted a lead within an hour were nearly seven times more likely to qualify it than those that waited even a couple of hours. Buyers submit RFQs to multiple suppliers; the first credible response frames the conversation.

For a small shop, "respond within an hour" sounds impossible — you're running jobs, not refreshing an inbox. That's what automation is for: instant notification to your phone when an RFQ arrives, an automatic acknowledgement to the buyer, and a follow-up reminder if nobody has replied by the next morning. Step 5: Publish proof, not promises

The last piece is evidence. A short case study — "the customer's problem, what we made, tolerance and lead time delivered" — outperforms any amount of "we are committed to quality" copy. Two or three of these, with photos, give a buyer the confidence to send you the drawing instead of the shop across town.

What this looks like when it works

None of this requires paid advertising. It requires a website that behaves like your best salesperson: it explains exactly what you make, proves you can be trusted, asks for the order, and never sleeps. Manufacturers who make this shift stop treating the website as an expense and start treating it as the one sales rep who works nights, weekends, and holidays.
